About Our Practice
We are a small, community-centered, faith-based midwifery practice of three midwives. Our mission is to provide deeply individualized, compassionate, and holistic care to families throughout their pregnancy and homebirth journeys.
While our clinical team is hands-on with patient care, we rely heavily on our Office Coordinator to be the backbone of our business. We are looking for an upbeat, self-motivated, and highly organized individual to manage our daily administrative operations and serve as a warm, grounding presence for our clients.
The Role & Your Impact
As the first point of contact for our practice, you will set the tone for every family who calls or emails us. This role requires a unique balance of sharp organizational skills and deep emotional intelligence. You will handle sensitive client communications, manage office logistics, and keep the background of our business running flawlessly.
Key Responsibilities:
-
Client Care & Communication: Respond to client phone calls and emails with exceptional empathy, clarity, and sensitivity.
-
Administrative Management: Coordinate schedules, organize files, and ensure seamless communication between families and the midwives.
-
Digital Correspondence: Use your strong writing and keyboard skills to communicate with ease, gracefully structuring words whether delivering wonderful news or delicate updates.
-
Data & Systems: Manage day-to-day documentation using Microsoft Word, Excel/spreadsheets, Adobe/PDFs, and our electronic medical PHR (Patient Health Record) system.
-
Office Stewardship: Maintain a tidy, peaceful, and welcoming office environment (light housekeeping) and assist with occasional sterilization and cleaning of birthing instruments.
Who You Are
-
Compassionate & Discerning: You are sensitive to patient needs and understand (or are eager to learn) trauma-informed care principles to support families from their very first interaction.
-
Adaptable & Upbeat: You possess a strong motivating force and a positive attitude. You can navigate high-pressure situations with calm focus, and remain proactively productive during slower times.
-
Tech-Savvy: You are highly proficient with Word, Excel, and PDFs. An active iPhone/iOS user is preferred, as Apple technology is central to our daily communication. Comfort navigating or learning electronic medical records is required.
-
Self Starter: Not afraid to ask for help, but can self navigate, investigate and complete tasks without being told.
-
Birth-Minded (Preferred): Prior experience or a background in birth work—especially homebirth—is a major plus. Backgrounds as a CNA, Medical Assistant, or similar are preferred, but we welcome all aligned applicants.
-
Aligned in Heart: Formal higher education is not required. We highly prioritize organizational alignment, life experience, operational capability, and a heart for service.
